Staff submit requests from their phones and planners make decisions from one inbox. Editable country presets provide a starting configuration; your organisation owns the final policy.

A direct route from request to roster action
Begin with a country preset or custom policy. Staff can request Summer leave or Other leave for dates or a specific assignment. Planners approve, decline or enter leave on someone’s behalf, then decide whether affected shifts should enter the marketplace.
Medical leave is tracked separately from the configured annual balance. Recording it can automatically call out overlapping published shifts in the next three local days; the planner handles remaining affected shifts. Marketplace claims remain subject to eligibility rules.
Configure the policy your organisation uses
Set the annual allowance, leave-year start, accrual method and what counts as a day. Country presets supply initial values, all of which remain editable.
Work percentage and individual annual-day overrides support different arrangements without requiring a separate policy for every person.
From request to decision
- A staff member requests dates or a specific assignment from Leave.
- The planner inbox keeps current requests and leave history together.
- The planner approves or declines; staff can cancel a pending request or future approved leave.
- If approved leave overlaps published work, the planner can offer that work in the marketplace.
Handle work during approved leave
A person cannot claim marketplace work on an approved leave day. If they clock in or are added through Shift correction, Vaktos asks for confirmation, interrupts only the overlapping leave and returns those days to the balance. The rest of the leave remains approved.
Important details
- Summer leave and Other leave draw from the configured balance; medical leave does not. Medical leave can automatically call out overlapping published shifts in the next three local days.
- Other leave can represent unpaid leave, winter holidays or another approved absence.
- Vaktos does not interpret legislation or collective agreements and is not a parental-leave or HR case-management system.

Frequently asked questions
Does Vaktos determine statutory leave entitlement?
No. Country presets are editable starting points for annual days, leave year, accrual and the definition of a leave day. Your organisation must configure and verify the policy that applies.
Can we customise leave settings?
Yes. Start with Iceland, Norway, Sweden, Denmark, the UK, the US or a custom policy, then edit it. Individual annual days and work percentage can also be set. New organisations default to 24 weekdays and an Icelandic 1 May–30 April leave year earned in the previous year.
What can staff do from their phones?
They can review entitled, used, pending and remaining days, then request a date range or an assigned shift. If they later work during approved leave, confirmation interrupts the overlapping day and returns it to the balance.
