Punch clock at a glance
Staff normally clock in and out against a published assignment. That shift is available for clock-in from two hours before its start until two hours after its end.
The web app can sit on a phone’s home screen, while a shared tablet provides a PIN-based option at the workplace.
If a mobile request cannot be sent, both clock-in and clock-out can wait in a local queue and be submitted when the device reconnects. Staff should keep the queued status visible until it has synced.
More than a start-and-finish button
The staff web app brings the clock together with the team view, calendar, leave, personal hours and open shifts.
From the same mobile workspace, people can:
- clock in, clock out and record configured breaks;
- report that they cannot attend an upcoming shift;
- view and claim open shifts for which they are eligible;
- check who is working;
- review their schedule and recorded hours.
Workplace clock-in and colleague cover handle exceptions. Cover leaves the planned name on the roster while attendance records the person who worked.
Use the assigned shift when it fits
A published assignment gives staff a clear clock-in action, while workplace clock-in and cover keep timekeeping usable when the day changes.
- The clock-in window runs from two hours before the assigned start to two hours after the assigned end.
- Staff can select the workplace if there is no matching assignment.
- Cover records the attending person without replacing the scheduled person.
- Clocking during approved leave requires confirmation and returns the overlapping leave to the balance.
The Attendance board highlights late arrivals, missing punches and early departures. Unscheduled workplace time is included in the hours record, so planners can review it alongside assigned work.
Give staff context around each punch
People working nights or changing patterns need more than a timesheet. The same mobile app shows colleagues on duty, the monthly calendar, leave and eligible open shifts.
Put a shared clock at the entrance
A tablet kiosk can complement or replace personal phone punching at the workplace.
Each person chooses their name and enters a PIN. Settings can enable break actions and a screensaver, while personal email addresses stay hidden from the kiosk list.
Important details
- Queued punches stay on the device until they can be sent; this does not make Vaktos a complete offline service.
- A delayed mobile punch can be flagged for planner review. On the shared kiosk, clock-in needs a connection; clock-out can queue only after a valid session has started.
- The mobile product is a home-screen web app rather than an app-store download.
- Vaktos does not use GPS geofencing to track staff location.
- Staff can view their weekly availability and add date-range unavailability on My page; planners manage the recurring weekly pattern. Temporary unavailability is not the same as leave.
- On My page, staff can configure notification preferences for relevant reminders and updates where the organisation uses them.

Frequently asked questions
Is an app-store download required?
No. Vaktos runs as a web app and can be added to a phone’s home screen. A workplace can also provide a shared tablet kiosk where each person selects their name and enters a PIN.
Can staff clock in without an assigned shift?
Yes. A published assignment is normally available from two hours before the shift starts until two hours after it ends. If no shift matches, staff can clock in at the workplace or record that they are covering a colleague. The entry then appears in Attendance for review.
What happens if the connection drops during a punch?
The phone can queue both clock-in and clock-out attempts locally and send them when connectivity returns. The interface marks a punch as waiting to send. This is a recovery queue on that device, not a fully offline timekeeping service.
