Review punches, overtime and bands before export

Calculate hours from attendance and configured rules, resolve exceptions, then approve the period for export.

Hours at a glance

Configure the week start, contract hours, daytime window and overtime approach. Review the underlying punches, approve a week or month and then export CSV.

Breaks and optional evening, night and weekend bands sit in the same record. Vaktos supplies approved data to payroll; it does not run payroll.

Apply business rules to recorded attendance

Settings cover weekly and daily hours, daytime, late grace, paid and unpaid breaks, and overtime after daily hours, outside daytime or outside planned work. The outside-planned-shift rule applies only when planned weekly work exceeds full-time hours.

Planners can review today, a week or a month, with Late, Missing and Left early flags. Staff see their own totals on mobile. CSV becomes available after approval.

Resolve exceptions while the evidence is visible

Attendance places missing punches, late arrivals and early departures beside the recorded times, with a history for corrections. Planners can address them before period end rather than rebuilding events later.

If somebody is sent home, a planner can choose whether to pay the remaining scheduled time and keep that decision with the attendance record.

Review timekeeping exceptions before approving the period.

Configure the rules used for calculation

  • Choose a Sunday or Monday week start and set weekly, daily and daytime thresholds.
  • Select the overtime rules your organisation uses.
  • Start break settings from Iceland, Norway, all paid, all unpaid or custom minutes; recorded break duration affects paid time.
  • Add evening, night and weekend bands as optional reporting columns.
Keep the settings used for hours calculations in one place.

Approve first, then export

Once a planner approves the week or month, CSV includes worked, paid, planned, overtime, evening, night, weekend and contract hours. A printable worksheet supports review.

Staff can already see their own totals on mobile. CSV is a controlled handoff, not payroll software or a prebuilt payroll connection. If a named connector is essential, read how to choose a shift system.

Staff can review their own recorded and calculated hours.

Important details

  • Person-level settings cover hours and overtime; breaks and hour bands are organisation-wide.
  • Paid time uses recorded break duration rather than the scheduled break.
  • Rule changes can recalculate earlier periods.
  • Vaktos does not create payslips, calculate tax or encode collective-agreement tables.

Frequently asked questions

Does Vaktos replace payroll software?

No. Vaktos prepares worked, paid, planned and overtime hours, with optional evening, night and weekend columns. After approval, export CSV or read the data through the API for your payroll process.

Can hours rules differ by person?

Contract hours and overtime rules can be set per person. Break settings, late grace and evening, night and weekend bands remain organisation-wide.

Can a rule change affect earlier periods?

Yes. Rules are applied when hours are calculated rather than stored permanently on each punch. Changing a daytime window or related setting can therefore recalculate earlier periods; Vaktos does not preserve a legal snapshot of every historical rule.
