Marketplace at a glance
For a published shift within the next three local calendar days, a person can select Can’t make it. The shift can then enter the marketplace without deducting annual leave.
Eligible colleagues see it in Market. Vaktos ranks eligible people and notifies them in waves; the first valid claim receives the assignment.
Planners can open a shift directly, including one affected by approved leave. An open shift can be claimed until it ends. After start, Shift correction remains available when cover must be recorded without changing the published assignment.
Open shifts are not shift swaps
Market distinguishes between available work and shifts that conflict with role, availability, leave or an existing assignment.
Staff can:
- report Can’t make it for a published shift in the next three local calendar days;
- claim an eligible opening;
- withdraw their report before work begins, unless another eligible person has already claimed the shift.
A planner can open a shift without a staff report, or mark a person sick for a near-term shift without opening it. Recording medical leave can automatically call out overlapping published shifts in the next three local days; the planner handles remaining affected shifts. When summer or other leave overlaps published work, the planner can choose which affected shifts to offer.
To ask a named colleague to cover or trade shifts, use shift swaps instead.
Keep the cover request attached to the shift
A call-around separates the conversation from the roster and can miss colleagues who are actually available.
Vaktos keeps the opening on the schedule and presents it to eligible staff in Market. The planner sees the assignment change on the same roster.
Report a near-term call-out
Open an assigned shift, select Can’t make it, choose a reason and submit the report. The planner is notified and the shift can enter the marketplace.
This action applies to one upcoming published shift within the next three local calendar days; it is not a full medical-leave case. Longer sickness is recorded as medical leave, which can automatically call out overlapping published shifts in the next three local days while the planner manages the rest of the period.
From call-out to confirmed cover
- A staff member reports Can’t make it, or a planner opens the shift.
- Approved leave can also prompt the planner to offer overlapping published work. Medical leave can automatically call out overlapping published shifts in the next three local days.
- Eligible colleagues are ranked and notified in waves; the first successful claim receives the shift.
- Claiming remains available until the shift ends. When cover must be recorded without a claim, the planner uses Shift correction.
Marking a person sick does not automatically offer the shift. Recording medical leave can automatically call out overlapping published shifts in the next three local days; the planner handles shifts outside that window. Marketplace claims remain subject to eligibility rules.
Eligibility is checked at claim time
Vaktos checks for an active profile, the required workplace role, availability, approved leave, overlapping work, configured work rules and whether the person made the call-out.
Eligible people are fit-ranked for notification order. The assignment still goes to the first valid claim, not to an automatically selected person.
A successful marketplace claim changes the assignment. Colleague cover after start is different: the original assignment can remain on the roster while attendance records who worked.

- The marketplace uses ranked notification waves and first eligible claimant; it does not auto-assign a replacement.
- Marketplace claiming and assisted roster scheduling are separate workflows.

Can someone withdraw a Can’t make it report?
Yes, until the shift begins — but only while nobody else has claimed it. Once another eligible person has taken the shift, withdrawal is no longer possible. After the start time, a planner uses Shift correction if cover must be recorded without a marketplace claim.
Does the marketplace choose a replacement automatically?
No. Vaktos ranks eligible colleagues and notifies them in waves, but the first eligible claim that succeeds receives the assignment. A planner can also open a shift directly. This is separate from assisted roster scheduling and from named shift swaps.
