When a spreadsheet remains appropriate
Keep the file when the schedule is stable, ownership is clear and attendance or cover does not require repeated reconciliation. A working process does not need replacement simply because software exists. Read when spreadsheets reach their operational limit.

Organisation-wide process requirements
If SSO, a specific SLA, multi-country HR policy or formal enterprise controls are mandatory, document those requirements and obtain commitments from the selected provider.
