Vaktos focuses on shift operations. It does not replace the hotel’s PMS, POS, HRIS or payroll software.
A shared plan with department-level control
Hotel templates provide familiar departments and job titles. Planner scope can limit editing by workplace or department, staff can work across workplaces, and optional evening, night and weekend bands can be included in approved exports.

Handle an opening without losing the schedule
When somebody cannot attend an upcoming shift, the assignment can enter the marketplace. Eligible colleagues see it, and the first successful eligible claim receives it.
After the start time, the planner records cover through Shift correction. The original assignment remains available for review. See the open-shift workflow.
Offer phone and entrance clocking
A shared tablet lets each staff member select their name, enter a PIN and record a punch. Configured breaks are available on the kiosk and mobile web app.
A published shift is the normal starting point, while workplace clock-in and colleague cover handle exceptions. On mobile, both clock-in and clock-out can queue when the request cannot be sent. Review timekeeping options.
Review evening, night and weekend bands
Organisation work rules can classify these hour bands alongside regular time and overtime, then include them in the approved hours file.
Changing a rule can recalculate earlier periods because settings are not frozen onto each punch. Vaktos provides approved data but does not run payroll. Learn about hours and approval.

- Vaktos does not manage rooms, occupancy forecasts, tip pooling or PMS data.
- Hotel and Hospital industry presets supply starting department and role labels. Planners still customise departments, roles and shifts for the operation; the underlying workflow stays the same.

What does Vaktos manage for a hotel?
Vaktos plans named shifts across reception, housekeeping, kitchen and night work, then connects the roster with attendance, call-outs, leave and approved hours. It is not a PMS, POS or payroll system.
Can departments share one hotel roster?
Yes. Hotel is the default setting, with department and job-title templates. Planners can filter by workplace or department, and staff can belong to more than one workplace.
How can a hotel fill a short-notice opening?
Before the shift starts, it can enter the marketplace for eligible colleagues. The first valid claimant receives it. After work begins, the planner records cover through Shift correction without changing the original assignment.
Can we place a time clock at the staff entrance?
Yes. Staff select their name and enter a PIN on a shared tablet, or clock from the mobile web app. Configured breaks are available in both. On mobile, clock-in and clock-out can queue if a request cannot be sent.
Can hours be separated into evening, night and weekend bands?
Yes. These optional organisation-wide bands appear beside regular time and overtime, including in CSV after approval. Vaktos does not interpret collective agreements or run payroll.
Can planner access be limited by department?
Yes. A planner can be scoped to a workplace or department, keeping editing responsibility focused while the hotel roster remains on one board.
Does Vaktos replace a PMS, POS or HRIS?
No. Vaktos does not manage rooms, occupancy, sales, tips or employee master data for a full HR function. Hotel and Hospital settings change templates and labels rather than the underlying shift workflow.
